  <description>&lt;p&gt;We are looking for a proactive and personable Office / Sales Assistant to support the day-to-day operations of our London showroom. This is a varied and hands-on role where you&amp;rsquo;ll be central to ensuring the showroom runs smoothly, while also providing key administrative support to the sales team.&lt;/p&gt;&#13;&#10;&#13;&#10;&lt;p&gt;You will be the first point of contact for visitors and facilities-related matters, playing a vital role in maintaining a professional, welcoming, and efficient environment.&lt;/p&gt;&#13;&#10;&#13;&#10;&lt;p&gt;&lt;strong&gt;Main duties include:&lt;/strong&gt;&lt;/p&gt;&#13;&#10;&#13;&#10;&lt;p&gt;&lt;strong&gt;Showroom Management&lt;/strong&gt;&lt;/p&gt;&#13;&#10;&#13;&#10;&lt;ul&gt;&#13;&#10;&#9;&lt;li&gt;Ensure the showroom is consistently presentable and welcoming&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Greet visitors, offer refreshments, and direct them appropriately&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Manage visitor sign-in/sign-out procedures&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Coordinate meeting room bookings for internal and external use&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Organise and provide refreshments for meetings&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Arrange catering, including lunch orders when required&lt;/li&gt;&#13;&#10;&lt;/ul&gt;&#13;&#10;&#13;&#10;&lt;p&gt;&lt;strong&gt;Facilities &amp;amp; Office Management&lt;/strong&gt;&lt;/p&gt;&#13;&#10;&#13;&#10;&lt;ul&gt;&#13;&#10;&#9;&lt;li&gt;Act as the main contact for building maintenance and facilities issues at the showroom&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Liaise with contractors and Head Office to resolve facilities&amp;nbsp;issues efficiently&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Manage planned maintenance schedules and documentation&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Monitor and replenish office supplies (stationery, kitchen items, etc.)&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Oversee deliveries and stock levels of food and beverages&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Maintain office equipment, including coffee machines and appliances&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Report and follow up on cleaning issues&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Manage access and security systems (e.g. key cards, entry systems)&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Maintain office plants and general workspace upkeep&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Keep an accurate log of maintenance issues and resolutions&lt;/li&gt;&#13;&#10;&lt;/ul&gt;&#13;&#10;&#13;&#10;&lt;p&gt;&lt;strong&gt;Sales &amp;amp; Administrative Support&lt;/strong&gt;&lt;/p&gt;&#13;&#10;&#13;&#10;&lt;ul&gt;&#13;&#10;&#9;&lt;li&gt;Support the sales team with administrative tasks and tender submissions&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Attend sales meetings and distribute meeting minutes&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Assist with organising events, training, travel, and accommodation&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Help coordinate client entertainment and showroom events&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Maintain showroom samples and marketing materials&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Provide ad hoc administrative support across the business&lt;/li&gt;&#13;&#10;&lt;/ul&gt;&#13;&#10;&#13;&#10;&lt;p&gt;&lt;strong&gt;What we are looking for:&lt;/strong&gt;&lt;/p&gt;&#13;&#10;&#13;&#10;&lt;ul&gt;&#13;&#10;&#9;&lt;li&gt;Friendly, confident, and professional manner&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Strong team player with a collaborative approach&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Excellent communication skills (written and verbal)&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Highly organised with strong attention to detail&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Proactive and able to use initiative&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Reliable and dependable&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Smart and professional appearance&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Competent in Microsoft Office (Outlook, Excel, Word, PowerPoint)&lt;/li&gt;&#13;&#10;&#9;&lt;li&gt;Previous experience as a First Aider and/or Fire Warden (desirable)&lt;/li&gt;&#13;&#10;&lt;/ul&gt;&#13;&#10;&lt;br /&gt;&lt;br /&gt;&lt;a href=&quot;https://mydiversity.com/job/12912/office-sales-assistant-at-optima-systems/&quot;&gt;Apply&lt;/a&gt;&lt;br /&gt;</description>
