Executive Support Officer



Hemel Hempstead, Hertfordshire (Hybrid Working)



£31,600 per annum plus benefits



12 Months Fixed Term Contract, Full Time



37 hours per week (Monday – Friday)   



Thrive Homes is seeking an Executive Support Officer to support the Chief Executive with routine enquiries and standard correspondence.  In this key role you will also support the Executive Team with diary management, external appointments and meeting preparation. This includes drafting agendas, taking minutes, and managing meeting action logs.



This role requires 3 days office days at our head office in Hemel Hempstead (these days are flexible) and 2 days working from home.



Other Responsibilities:




  • Organise Forum, Board, Committee, and Executive Team meetings. This includes –sending invitations, preparation of agendas, sourcing papers, and uploading papers to a Board portal.

  • Produce timely and high-quality minutes for Board and Committee meetings.

  • Provide governance support and advice to colleagues across the business ensuring that Thrive has robust systems, records, registers, and trackers in place.

  • Manage the Thrive Seal & Signatures Registers, maintaining supporting guidance, providing quality assurance checks pre-signature, while ensuring all transactions are accurately recorded.

  • Support the onboarding of new Board members; ensuring that all paperwork is completed and actioned.

  • Support in the maintenance of the Policy Hub to ensure that an accurate records of policies for colleagues and externally on the website.

  • Support the process designed to protect the data we collect, store and transfer; ensuring that all data protection issues are dealt with in accordance with the agreed process and timeline.

  • Manage the GDPR in-box and respond to queries from the business and our customers (with external advice where required).

  • Conduct regular analysis of data protection



Requirements:    




  • You can demonstrate a track record of delivery against our key deliverables or a foundation on which can be built to fulfil the full brief.

  • We are flexible in how you have achieved your skills and experience, through education or through worked experience.

  • Your ability to role model our core behaviours is as important as technical expertise.

  • You must be able to support a culture founded in trust and respect for everyone.

  • Demonstratable experience of exemplary PA/administration support within work experience is important.

  • Some experience in working with GDPR or a willingness to learn

  • Experience of working as an Executive Officer for senior staff

  • Ability to produce high quality minutes

  • Experience of working with Boards and Committees

  • Excellent communication and interpersonal skills
